Konvoi (Android app)
Konvoi for Android connects drivers and fleet managers to their existing Konvoi workspace. Its data handling differs from the standalone Konvoi Inspect app described below. There is no account creation in the Android app.
Account and fleet data
The app exchanges sign-in information, account and driver identifiers, names, e-mail addresses and session tokens with Konvoi to authenticate you and provide access to your workspaces. Depending on your role and enabled modules, it accesses vehicle assignments, planning and stops, vehicle positions supplied by fleet integrations, vehicle documents and driving licence details and files. It sends message read status, pickup and delivery answers, and Freight changes to Konvoi. These records are available to authorized users in the relevant workspace.
Bluetooth and location
Freight uses nearby-device and location permissions to find and connect to Bluetooth trackers and tags. Tracker and tag identifiers, signal strength, available battery readings, configuration and vehicle links are exchanged with Konvoi to manage Freight equipment. When you choose to place a stationary tracker at your current position, the app requests one phone location and sends its coordinates and accuracy to Konvoi as the tracker’s location. The app does not continuously collect the phone’s location in the background. Vehicle positions shown in Planning come from fleet data, rather than background phone tracking. You can change these permissions in Android settings; features that need them may then be unavailable.
If you configure a tracker’s Wi-Fi, the app sends the network name and password directly to that tracker over Bluetooth; this setup does not send the password to Konvoi.
Notifications and crash reporting
The app uses Google Firebase Cloud Messaging to deliver driver messages and pickup or delivery questions. Konvoi registers the push token, phone model, Android version and app version against your driver session. Notification content and delivery identifiers pass through Google. You can disable notification display in Android settings.
Release builds use Google Firebase Crashlytics to diagnose failures. It collects crash reports, stack traces, app and device information and installation identifiers. The Android app does not include advertising or Google Analytics. Firebase services may process data outside the EU. See Firebase’s privacy and security information for its processing, retention and international transfer safeguards.
Maps and external apps
Maps load tiles from the OpenStreetMap Foundation. Tile requests disclose your IP address, app identifier and the map area requested to that service; see its privacy policy. If you choose navigation or open a document in another app, the destination coordinates or selected file are passed to that app, which handles them under its own policy.
Storage and security
Connections to Konvoi use HTTPS. Session tokens and tracker keys are encrypted on the phone using Android Keystore. Driver and vehicle documents and planning data are stored in the app’s private storage so you can access saved information offline. Signing out clears saved driver papers and planning data. Clearing the app’s storage or uninstalling it removes its local data, but does not delete records held by your workspace or copies you saved or shared in another app.
Konvoi Inspect (iOS app)
Konvoi Inspect is a standalone, on-device vehicle inspection tool. It collects no personal data and performs no tracking. Everything you create, inspection details, photos, the walkaround video, damage markers and generated PDF reports, is stored only on your device, inside the app’s private storage.
- No account, no sign-in. The app works fully offline and does not require you to create an account.
- No data leaves your device automatically. Inspection data is never uploaded to Konvoi or any third party. You remain in control: you can choose to share a report, photo or video using the standard iOS share sheet (for example e-mail), but only when you explicitly do so.
- No analytics, no advertising, no third-party SDKs. The app contains no tracking or advertising technology.
Konvoi Inspect device permissions (iOS)
The app asks for the following permissions only to perform its core function. They are used on-device and the resulting data stays on-device:
- Camera: to guide the vehicle walkaround and capture inspection photos and video.
- Microphone: to optionally record spoken notes with the walkaround video so they can be transcribed into the report.
- Photo Library: to add existing photos to an inspection, and to optionally save inspection photos or the walkaround video to your library.
Konvoi platform (konvoi.ai)
The Konvoi web platform is a separate, account-based fleet operations service. If you use it, the data you enter (vehicles, drivers, fines, inspections, documents) is processed to provide the service and stored on Konvoi’s infrastructure within the EU. It is not combined with, and is independent from, the on-device Konvoi Inspect app described above.
Data retention and deletion
For the Konvoi platform and Android app, we retain account and fleet data while your workspace uses Konvoi. You can request deletion of your account and associated personal data by e-mailing [email protected]. We delete data on request, except records we need to retain for legal or security purposes. If an exception applies, we explain which data is retained and why, and retain it only for as long as necessary for that purpose.
Your rights
Under the GDPR you have the right to access, correct or delete personal data we hold about you, and to object to or restrict its processing. For the Konvoi Inspect app, you can delete all data at any time by deleting an inspection or removing the app from your device. For platform accounts, contact us using the details below.
