Send it in any way

Upload files, or forward them to your workspace’s own Konvoi e-mail address: PDFs, photos and spreadsheets are accepted. A stack scanned into one PDF is split by AI into separate documents, and a person confirms the split.

Recognised automatically

Each document is classified from its first page and the right fields are extracted:

• Registration certificates and certificates of conformity
• Insurance certificates and technical inspection reports
• Driving licences, with categories and CPC (code 95)
• Leasing contracts and vehicle invoices
• Fuel invoices and receipts
• Fines, with Belgian structured payment references and a payment QR code
• European accident statements
• Exceptional transport permits (with the Permits module)

A person confirms, then it counts

Almost every processed document lands in a review inbox, with the extracted values next to the page they came from. Nothing changes your records until someone checks it.

Expiries, one e-mail a day

Konvoi tracks missing, expiring and expired insurance and technical inspections per vehicle, and driving licences, CPC and licence-category mismatches per driver. Admins get at most one fleet-health e-mail a day. Each issue is announced once, and again only if it clears and comes back.

Fines without chasing

Fines are read, grouped with their reminders and corrections, and matched to a driver: Konvoi suggests the driver who had the vehicle on the date of the offence. Drivers see their own fines in the driver portal.
